Roe Medical Aesthetics ("Roe Medical Aesthetics," "we," "us," or "our") is committed to protecting the privacy and personal information of our clients and website visitors. This Privacy Policy explains what information we collect, how we use and protect it, and the choices you have. It applies to information collected through our website, roemedicalaesthetics.com (the "Site"), and in the course of providing our services.

We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), Ontario's Personal Health Information Protection Act (PHIPA) where health information is involved, and Canada's Anti-Spam Legislation (CASL) for our electronic communications.

Who We Are

Roe Medical Aesthetics provides medical aesthetic treatments, including injectable treatments, skin treatments, regenerative therapies, and related services, from our locations in Burlington and Oakville, Ontario, Canada. If you have any questions about this policy or your personal information, you can reach us at [email protected].

Information We Collect

Depending on how you interact with us, we may collect the following types of personal information:

Contact and identity information — your name, email address, phone number, and any details you provide when you fill out our contact form, message us, or communicate with us directly.

Appointment and health information — when you book an appointment or become a client, we collect information necessary to provide safe and appropriate care. This may include your date of birth, medical history, medications, allergies, treatment history, photographs taken for clinical purposes, consent forms, and treatment notes. Our online booking and client records are managed through Jane App, a third-party practice management platform. This is sensitive personal health information and we treat it accordingly under PHIPA.

Payment information — when you pay for services or purchase products, payment is processed by our third-party payment processors. We do not store your full credit card number on our own systems; it is handled directly by the payment processor.

Purchase information — if you buy products or gift cards through our online shop, we collect the details necessary to fulfill and support your order, such as items purchased, billing and, where applicable, shipping information.

Marketing preferences — if you sign up for our newsletter or email list, we collect your email address and your consent to receive communications from us.

Technical and usage information — when you visit the Site, we and our service providers automatically collect certain information such as your IP address, browser type, device information, pages viewed, and how you arrived at and navigate the Site. This is collected through cookies and similar technologies, including analytics and advertising tools (see "Cookies and Tracking Technologies" below).

How We Use Your Information

We use personal information to:

provide, schedule, and deliver our aesthetic and medical services;
create and maintain your client and treatment records;
respond to your inquiries, requests, and messages;
process payments and fulfill product or gift card orders;
send appointment confirmations, reminders, and service-related communications;
send you newsletters, promotions, and marketing communications where you have consented, and allow you to opt out at any time;
operate, maintain, analyze, and improve our Site and services;
deliver and measure our advertising; and
comply with our legal, regulatory, and professional obligations.
Consent

We collect, use, and disclose your personal information with your consent, except where otherwise permitted or required by law. By providing us with your personal information and using our Site and services, you consent to the practices described in this policy. For sensitive health information, we rely on your express consent to provide treatment. You may withdraw your consent at any time, subject to legal and contractual restrictions and reasonable notice, by contacting us — though withdrawing consent may limit our ability to provide certain services.

For commercial electronic messages such as our newsletter, we rely on your consent in accordance with CASL, and every marketing email includes an unsubscribe link.

Cookies and Tracking Technologies

Our Site uses cookies and similar technologies to function properly, remember your preferences, understand how visitors use the Site, and support our marketing. This includes:

Analytics tools (such as Google Analytics) that help us understand Site traffic and usage so we can improve our content and services.

Advertising and social media pixels (such as the Meta/Facebook pixel) that help us measure and deliver relevant ads and understand the effectiveness of our campaigns.

You can control or disable cookies through your browser settings. Disabling cookies may affect how parts of the Site function. You can also opt out of certain analytics and advertising tracking through the tools provided by those third parties (for example, Google Ads Settings and your ad preferences on social media platforms).

Service Providers and Sharing of Information

We do not sell your personal information. We share personal information only as needed to operate our business and provide our services, including with trusted third-party service providers who perform functions on our behalf, such as:

Jane App — online booking and practice/patient record management;
our website platform provider (Showit) and hosting services;
payment processors who handle transactions;
our email marketing platform; and
analytics and advertising providers (such as Google and Meta).

These providers are only permitted to use your information to provide services to us and are expected to protect it. Some of our service providers may store or process information outside of Ontario or Canada, including in the United States. Where information is processed in another jurisdiction, it may be subject to the laws of that jurisdiction, including lawful access by courts, law enforcement, and government authorities.

We may also disclose personal information where required or permitted by law, to comply with a legal or regulatory obligation, to enforce our agreements, or to protect the rights, safety, and property of our clients, our practice, or others.

Safeguards and Security

We take reasonable physical, organizational, and technological measures to protect your personal information against loss, theft, unauthorized access, disclosure, copying, use, or modification, appropriate to the sensitivity of the information. Health information is subject to heightened safeguards. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.

Retention

We retain personal information only as long as necessary to fulfill the purposes for which it was collected and to meet our legal, regulatory, and professional record-keeping obligations. Medical and treatment records are retained for the periods required by applicable Ontario health regulations and professional guidelines. When personal information is no longer required, we take steps to securely destroy, erase, or anonymize it.

Your Rights and Choices

Subject to applicable law, you have the right to:

access the personal information we hold about you and request a copy;
request corrections to inaccurate or incomplete information;
withdraw consent to our use of your information, subject to legal and contractual limits;
unsubscribe from marketing communications at any time using the link in our emails or by contacting us; and
ask questions or make a complaint about how we handle your personal information.

To exercise any of these rights, contact us at [email protected]. We will respond within the timeframes required by law. If you are not satisfied with our response, you have the right to contact the Office of the Privacy Commissioner of Canada or the Information and Privacy Commissioner of Ontario.

Children's Privacy

Our services and Site are directed to adults. We do not knowingly collect personal information from individuals under the age of majority without the consent of a parent or legal guardian. Treatments for minors, where offered, require appropriate consent.
